8 sim league tasks worth automating this season

At DBL CRS Sim Lounge in Ontario, Sunday night’s event was always a success. Players enjoyed themselves, scores were posted, and everybody went home happy. It was always the morning after that co-founder Matt Tindale dreaded.

Running leagues since 2017, he knew the tax that came the next day, stapled to last night's scoring sheet. It meant five, six, even seven hours of his day, staring at a screen, adding up skins and birdies and net and gross by hand, one column at a time, before anyone could see their scoring results. It wasn’t until he moved his operations into a singular platform that this tax disappeared.

Here are the crucial tasks your golf facility’s tech stack should handle on its own.

1. The Monday scoring marathon

The 5-7 hours of Sunday night league play are over. Players entered their own scores in the app as they finish, and a platform that calculates skins, birdies, gross, and net totals automatically ensures the night ends at the exact moment the last putt drops. You run the league — your program runs the math.

2. The chase for registration

Sign-ups and registration leads can easily scatter across texts, calls, and DM’s are difficult to track. GolfPlay's Jace Werry moved all of it into the TM registration page, where players register and pay themselves. Instead of collecting names and card numbers by hand, he sends out one link, "no questions asked," as he puts it.

3. The spreadsheet handicaps

Building handicaps by formula can feel like a second job. At Sticks and Stones Indoor Golf, half of facility owner Paul Dumont's league players didn't carry a handicap at all. Now, he uses an app to build one automatically from every sim score — no spreadsheet, no manual update — and gives players an index they can take with them into the outdoor season.

4. The staff training headaches

Not everyone behind a sim counter comes from golf, and every new hire used to mean re-teaching the whole league process by hand. Now the app carries most of that weight. Tindale still trains his staff, but far less than he used to. "There's less human error that can happen," he says, when his system does the explaining.

5. The one-by-one emails

Sending results to players individually doesn't scale. Find a platform that sends the league standings, including winners' names, to the entire league in a single automated email. The communication that used to eat an evening goes out in a few clicks.

6. 'Who-entered-what' disputes

When you keep score for everyone, every wrong number is yours to sort out. Once players can enter their own scores directly into an app, the responsibility moves with it. "The onus is on them," says Tindale. Gone are the days of squinting at an indistinguishable card to decide whether someone made a six or a seven.

7. 'Chained-to-the-counter' changes

A fix shouldn't have to wait until you're back at the shop.

Tindale once corrected a score from a beach chair, halfway across the world. Fewer hours stuck behind the counter doing league admin means more time to keep not just your facility, but life outside of league night, running like clockwork.

8. Rebuilding a league every season

Your first season is your setup. By season ten, it doesn’t have to be that way.

Werry runs multiple 10-week seasons a year at GolfPlay, but he doesn't build them from scratch. He duplicates the previous season's league inside the app and changes a few dates. "I just duplicate the previous fall league," he says. What worked this season becomes next season's starting point.

Where to start

The hours add up fast. Werry went from about eight hours a week to roughly one. Dumont says six to eight hours saved a week is "on the low side.”
