Meeting Minutes
April 13, 2021

Absent: Frank Zampello, Joe Blankenship, David Bradley, Patrick Tourais
- Minutes of the March 9, 2021 meeting were approved and accepted as submitted.
- Treasurer’s Report: Frank Zampello – written report submitted; cash balance as of March 31 was unchanged from February - $4,209. The balance of credits available on the KCC account is $1,411.
- Communication / Membership: Patrick Tourais – email report submitted.
- No change in the OFWW membership numbers since last report.
- Discussion of newsletter process. The process of sending OFWW emails from private email accounts can be cumbersome. Brent pointed out that the email address ofww@kingwoodgolfonline.com could be used and could help avoid some of the issues of sending large group emails from the personal email accounts. The Board discussed and approved posting the monthly newsletter to OFWW website. Members would receive a notification email from the above account with a link to the newsletter. Brent will work with Patrick to implement. Brent also mentioned that some ClubCorp clubs are using Golf Genius for their websites.
- Tournaments: Bill Wells
- Discussion of registration cutoff procedures for events – the Board discussed the changes that had been recently implemented at the request of the golf staff, including the handling of changes that occur after the cutoff. Also discussed the need to publish pairing for tournaments on the day prior to the event. Bill pointed out that publishing pairings and tee times was a practice implemented when the club was not allowing shotgun starts. Since we are again using shotgun starts publishing pairings is unnecessary or useful due to the inevitable, changes after the cutoff. Bill will draft an insert for the newsletter explaining the process.
- For the April bash we had 16 four-man teams; 64 players. Results to be sent out by email.
- Next Bash will be held on May 11th. Format will be Modified Stableford. Course has yet to be assigned.
- Interclub: no interclub captains present. The Marsh team defeated the Lake team in their match last week.
- Tom Lyda – no issues to report.
- Website: Brent Johnston
- Website “cleanup” process is continuing. Brent is trying to make maintenance and document uploads easier.
- Vice President: Edwin Goldman
- No change in the hole-in-one pot; still only 50 participants.
- The time for playday signup notifications to be posted has been re-set to the previous 5:00 AM.
- President’s Report: Steve Hendricksen
- Golf Committee – Dick Smith’s golf staff is now complete.
- Potential OFWW dues increase – it was agreed that we need to develop a proposed budget before trying to set the amount of any increase.
- The viability of the Christmas Party as previously funded and configured was discussed. There seems to be a growing consensus that the practice of using dues to partially subsidize funding of the party and prizes should be changed and funds directed to more events following bashes. High probability that there will be no OFWW Christmas Party in 2021.
- Bylaw revision – Edwin reported on the activities of the Bylaw revision subcommittee. The subcommittee has concluded that the Bylaws need a complete restructuring to clearly reflect organization responsibilities and processes and to clearly identify operational policies which can be managed by the Board and those which require membership approval. The subcommittee is also recommending the expansion of the Board to 9 members from the current 8 to avoid vote ties. Edwin will distribute the subcommittee’s draft of the revised Bylaws to the Board and compose a communication to the membership for the newsletter.
- Next meeting will be May 11 after the Bash.
