Meeting Minutes
January 18, 2022

Minutes of the Meeting:

- Secretary: David Wenner
- Minutes of the November 2021 Annual meeting were previously reviewed and accepted.
- Treasurer - Frank Zampello
- Presented new format to highlight annual budget and expenditures status which was well received by the other BOD members
- As a reminder, Payouts will be done once per month going forward (Action to include this reminder in next Newsletter)
- Frank needs to reconcile “special” payouts such as closest to pin, longest putt, etc. going forward since these aren’t captured in Golf Genius.
- Brent motioned to include an agenda Topic in the June 2022 BOD meeting to consider increasing play day fees from $3 to $5 per play day and increase payouts at same time. Consideration at June BOD will be whether or not to present the proposed change for a membership vote at the 2022 annual meeting. Stan seconded the motion and motion passed.
- Confirmed that OFWW Budget is available to members upon request during the year, and presented on an annual basis at the annual meeting.
- Membership - Jack Alexander
- 212 Members currently - Jack is reviewing membership to understand whom is participating in events on a regular basis
- 2 members resigned in January, and 4 new members joined
- Brent confirmed Kelly Paul will provide a list of new and existing club members over 60 years old to the BOD; Jack will reach out to those new members with information about the OFWW as a way to engage potential new members
- Frank suggested considering how event participation changes when drinks or lunches are included
- Jack will send a Newsletter notice to BOD at the end of each month seeking topics to add for the next month’s Newsletter edition
- Tournaments - Stan Coburn
- February Bash format will be confirmed and communicated shortly

- 3 man scramble was well received in general - very good pace of play
- KWGA expressed interest in changing to Lake course from Marsh course for the end of season Holiday Bash. After some discussion, including the possibility of scheduling the two Holiday events on different Tuesdays, it was decided not to consider a change at this time.
- Per Brent, the plan is to send email notices of future tournaments from Golf Genius which will enable easier signup by membership
- Inter club: Lake - Dave Bradley, Marsh - Joe Blankenship
- Membership is holding steady with gains and losses for both teams.
- Discussed opportunity to manage InterClub rosters in GolfGenius. It was discussed that the current InterClub procedures require information to be submitted for each match in a specific spreadsheet and the teams keep data that is not available from Golf Genius. For now, Brent will input roster in GolfGenius based on current information (Action: Dave and Joe to provide current roster) so it can be displayed on the website. This will be managed ongoing by occasional updates provided by Dave and Joe.
- Vice President: Greg Jensen
- Hole-in-One pot paid out by pro-shop. The OFWW HIO pot is only for OFWW events and not for OFWW members playing non-OFWW rounds. Whoever is signed up gets charged to rebuild the balance each time the pot is paid out. Payout process needs to be clarified with Tim - payouts need to be authorized / confirmed by Greg before being made (Action - Greg). If needed, Brent can create a “hole in one” club in Golf Genius, which could then be viewed by membership and may help manage the process.
- Play day schedule is already set up for the year; need to communicate which play days are “Limited” in the Newsletters (Action - Jack)
- Brent noted that future event communications can include a link to the tee sheet for an event in Golf Genius so members can verify they are signed up before an event.
- Competition Committee - purpose of this committee is to review OFWW rules and consider changes where appropriate. These are generally course rules questions. Jack will consider adding occasional rules topics to the monthly Newsletter.

6. Statistics: Tom Lyda

- “Skews” in play day handicap index groupings have disappeared when viewed in a full season context; Tom believes the groupings are now pretty good using the set handicap index ranges versus adjusting the range each play day based on the total number of players divided by three. Although not discussed during the meeting, the ranges currently used are 0 - 13.9, 14 - 18.9, and 19+. It was decided to keep the ranges as currently set.
- Some skewing of the distributions still occurs when there is low turnout. Tom recommends reducing to two groups when there is a total of about 20 participants or less, or if any flight is less than seven participants - this only happens a few times (~3) each year. Brent will follow up on how this could be automated in Golf Genius.
8. Website: Brent Johnston

- Brent recommended registering all current members in GG with individual IDs. This will enable members to view their specific historical information and manage personal profile information, such as “preferred / default tees”. Members can still sign in using the “generic” OFWW sign in, or with the play day specific event sign in for the foursome. BOD agreed with the recommendation. Brent will proceed with turning on the registration process which will initiate a communication to membership to complete the process including establishing log in credentials and updating information (default tees per course, etc.). Note that once default tees are entered exceptions can still be requested at event signup - I.e. adjust between White and Silver tees.

- Greg motioned and Joe seconded to adopt Edwin’s proposed schedule of Bash events that will include beverages only and days to include a luncheon.
- Edwin reviewed the divot day process and roles. Edwin is the overall coordinator and has identified the following monthly coordinators so far:
- February Coordinator - Ronnie Bulanek
- March Coordinator - Charlie Devoe
10. Meeting Close
Joe motioned to close, Brent Seconded - meeting closed at 3:20 PM
Action Items:

- Include a reminder that payouts will be made monthly starting in January 2022 in the February 2022 Newsletter. Members will need to track expected payouts and verify correct total amounts are applied. (Jack)
- Hole in One Payout process needs to be clarified with Tim - payouts need to be authorized / confirmed by Greg before being made (Greg).
- Provide current InterClub team rosters to Brent (Dave and Joe)
- Highlight 2022 “Limited” play days in future Newsletter (Jack)
- Consider turning on GG Sign-ups for Play days in February pending resolution of a couple of set-up questions (e.g. default tees loading) (Brent)
- Summarize Divot Day process in February Newsletter (Edwin)
